Make Better Planning for Successful Project Management Tasks
What is Project Management?
A project is simply a task to achieve something in the form of a unique product, result or service. It has defined scope, resources and time limit. It has a set of procedures to accomplish a single goal. A project team may have members from different fields not usually working together. They may become a team only to achieve that goal. So, to manage a project team with different members to achieve a goal in stipulated time is called project management. It is the application of knowledge, experience, tools and techniques for the requirement of the project tasks.
Project management processes can be grouped under five headings namely Initiating, Planning, Executing, Monitoring & Controlling and Closing. The knowledge of Project management is applied in ten areas namely time, scope, cost, quality, integration, procurement, human resources, communication, risk management and stakeholder management.
How can you Plan your Day to Become a Project Management Superstar?
Every project manager wants the project to go on smoothly without any hurdles. He wants that all his team members should work in coordination and efficiently to achieve the goals of the project. All this can be achieved if the project manager plans his or her day accordingly. The three parts of the day namely morning, afternoon and evening have to be planned in such a way that maximum output can be extracted from the project processes. Here are some tips to plan your day:
- Morning: The morning time is right to do the tasks which you never want to do. This is the time when you do the least wanted tasks to accomplish. This is quite difficult but once these tasks are accomplished you will feel great. These tasks may be directing the project towards a different direction, rescheduling a pre-scheduled meeting or sending bulk emails to say that the project is lagging behind and cannot be completed in time. This does not mean that you should spoil your morning in boring tasks. You can relax in between sipping coffee and chatting with co-workers so that can also feel relaxed.
- Afternoon: This time of the day should be productive. It has been seen that 25% of all time consumed in the meetings go waste. There is quite a possibility that unnecessary meetings may cut short time for completion of your project. Schedule a meeting only when it is a dire necessity otherwise emails can do the task. Meetings mean that your project is not on its tracks. So, try to make it as short as possible, briefing only the things with which the project can come back on tracks.
- Evening: This is the wrapping-up time. Jot down all tasks accomplished during the day so that you have an idea what to do the next day. This can be achieved through task management tools. Be more productive in mornings and afternoons.
